Create a BJJ kids protocol & customize its belt progression 00:00:00 — Your kids program starts here Welcome to GymFly. Let's create a Brazilian Jiu Jitsu kids protocol and customize the first belt transition. A protocol defines a training program, including its belt ladder and who can join it. Sign in as the owner, open Settings, and find Protocols under Management. We will use example academy settings. Choose the requirements that match your own coaching policy. 00:00:21 — Add a protocol The Protocols page lists the training programs already configured for your gym. Select Add Protocol at the top right to open the creation wizard. Brazilian Jiu Jitsu must already be available in your gym's discipline list before you can select it here. 00:00:36 — Choose the Juniors track Select Brazilian Jiu Jitsu, then choose the track labelled Juniors, ages four to sixteen. That is the kids track in this gym's current catalog. Select Next once the track is selected. GymFly copies its rank settings into your new protocol. Your edits here do not change the master catalog or the seniors protocol. 00:00:56 — Find the belt to customize The Ranks step starts with thirteen belts, from white through the gray, yellow, orange and green groups. Each row has a name field, a tune icon for requirements, and a drag handle for ordering. Keep the ladder order for this example, and open the tune icon beside White Belt. We will customize the first two ranks. Review the remaining ranks against your policy before assigning members. 00:01:20 — Set the white-belt stripes Under Stripes Available, select the fourth pip to give White Belt four stripe slots. Set Classes Per Stripe to twelve, and keep Months Per Stripe at one. These rules apply while the student holds White Belt. When both thresholds are configured, both must be met. Four stripes at these settings correspond to forty eight qualifying classes and four months, subject to the student's other requirements. 00:01:44 — Set what earns Gray/White Collapse White Belt and open the tune icon beside Gray and White Belt. Under Requirements to Earn, enter four Minimum Months and forty eight Minimum Classes. This is the important distinction: stripe rules sit on the current belt, while requirements to earn a belt sit on the next belt. We also set Gray and White to four stripe slots, twelve classes per stripe, and one month per stripe. 00:02:09 — Add a consistency rule Scroll down and set Min Classes Per Month to four. This adds a monthly attendance consistency requirement. It applies to completed months in the student's time at the current belt; the current partial month is excluded. Keep Gray and White's Minimum Age at four. Required assessments can be added using Add test, if your academy uses them. We leave assessments empty in this example. Configured requirements work together; the monthly rule does not replace the total class count. 00:02:38 — Set the kids age range Select Next to open Restrictions and Rules. Keep Any gender selected for this example. Enter four for Min Age and fifteen for Max Age. Both ends of the range are included. This narrows the catalog's Juniors range for this specific program. It does not rename or alter the source track. Leave Active switched on when the program should be available for assignment. Members need a date of birth to satisfy an age restriction. 00:03:03 — Name it. Check it. Save it. On Review, name the protocol BJJ Kids Foundations, Tutorial, and add a short description of its purpose. Check the discipline, thirteen ranks, any gender, ages four to fifteen, and Active status. Use an edit icon if something needs changing, then return to Review. Select Save once and wait for the wizard to close. The protocol is now created. 00:03:29 — Find your new protocol Back on the Protocols page, find the new BJJ Kids Foundations card. Check the ages four to fifteen badge and the thirteen-rank count, then open the card. The source track badge still says Juniors, four to sixteen. The separate age badge shows your customized assignment range. 00:03:47 — Know where to return The protocol details page brings together the overview, students, ranks and classes. Use this page whenever you need to check or maintain the program after creation. Select Ranks to review the saved belt ladder and its requirements. 00:04:04 — Check the saved ladder In Ranks, check White Belt and Gray and White Belt against the values you entered. Select the Gray and White card to open its settings again. This is also the shortcut for future adjustments: open the protocol, choose Ranks, select a belt, change its requirements, and save. 00:04:21 — Your settings are saved The reopened editor shows four stripe slots, twelve classes and one month per stripe, plus four months and forty eight classes to earn Gray and White. It also keeps the four-classes-per-month consistency rule and minimum age of four. The other eleven ranks still use their seeded settings. Customize those in the same way wherever your academy's policy differs. 00:04:42 — Connect the training Finally, open Classes. A newly created protocol has no linked classes yet. Link your kids classes to the protocol and choose which count toward progression. Assign eligible members when the program is ready. Creating the protocol alone does not record attendance or promote a student. You now know how to create the program, customize its first belt transition, and return to its settings. The written steps and example values are below this video.
